Continue reading for general information on payment, security and other key aspects of successful event planning with us. More detailed information is available from the Group Sales Department.
PAYMENT: A credit card is recommended to be on file for incidental expenses. A deposit of 50% of estimated final balance is due four (4) weeks after receipt of a confirmed signed contract. The deposit will be credited to the final bill. If reservations are made within the four (4) week window, the deposit will be due within five (5) days of the receipt of signed contract. If lodging fees apply, payment of one (1) night's room plus tax on entire block is required following the previously-stated timeline.
DIRECT BILL: To qualify for direct billing we must approve your credit application at least one (1) month prior to arrival. A credit card is required to be on file for incidental expenses and/or cancellation fees. A deposit of 10% of the estimated final balance is due four (4) weeks after receipt of a confirmed signed contract. This deposit will be credit to the final bill. If reservations are made within the four (4) week window, the deposit will be due within five (5) days of the receipt of the signed contract. If lodging rooms are to be paid for by the individuals attending, a deposit of one (1) night's room plus tax is required to secure each room reservation.
CANCELLATIONS: Cancellations of room blocks and/or catered functions on signed contracts less than three (3) months prior to arrival date will result in the forfeit of the deposit as mentioned in the deposit and payment sections. Individual lodging rooms cancelled prior to two (2) days before the arrival date are not penalized. Individual lodging rooms cancelled on or after two (2) days before arrival date forfeit one night's room plus tax per room.
ROOM ASSIGNMENT SET-UPS: The RainTree Resort reserves the right to reassign meeting and banquet rooms, especially in the case of fluctuating attendance figures. The set-up fee includes labor costs and rental of standard meeting room equipment. Final set-up confirmation is required one (1) week before the function date. Additional fees may be applied, based on room use schedules and customized event decoration.
MENUS: Banquet menu selections, room requirements and all other arrangements must be made a minimum of two (2) weeks prior to your function. All food and beverages must be purchased through the resort. The patron, guests or invitees may bring no food or beverages into the banquet areas. All federal, state and local laws will be strictly adhered to with regards to the food and beverage purchase and consumption.
BEVERAGES: Wisconsin law prohibits the sale and/or service of alcoholic beverages to anyone under the age of 21 years. No alcohol may be brought into the banquet or meeting rooms unless supplied by the resort. Private bars may be closed early, per management discretion.
SERVICE CHARGES AND TAXES: All catering prices are subject to an 18% service charge plus 6% state sales tax to their total amount. Guestrooms are subject to an additional tax of 5%. Patrons requesting tax exemption must submit a copy of their tax-exempt certificate prior to the scheduled function. Only payments made by the tax-exempt group are exempt from paying tax. Without valid documentation, individuals/groups are subject to rack rates and/or taxable rates.
DAMAGES: The RainTree Resort does not permit the affixing of anything to the walls, floors or ceilings of rooms with nails, staples, thumbtacks, tape or any other substance unless approval has been established prior to the event. The patron agrees to be responsible for any damages to the premises or equipment by members, guests, invitees or outside groups contracted by the patron during the events held at the resort. Penalty fees may apply.
SECURITY: The RainTree Resort reserves the right to inspect and control all private functions held on the premises. If the noise from entertainment or public address systems disturbs other patrons, the RainTree reserves the right to request the patron or entertainment persons to lessen the volume, or if necessary, to perform without amplification.
SHIPPING AND RECEIVING: If it is necessary for you to ship materials to the resort prior to your planned event please mark the labels clearly with:
Packages will be accepted two (2) days prior to any scheduled event. Special arrangements must be made in advance for any shipments arriving more than two days prior to the function; a storage fee may be applied for any packages received. Return shipping for all items are the sender's responsibility, merchandise must be picked up within two (2) days of completion of the scheduled event.
